Frequently Asked Questions

Event Registration & Travel

Am I eligible for travel support?

Participants who live within 50 miles of the event location are NOT eligible for travel or lodging support.

What costs are covered by Google cover for the event?
Google covers airfare or train travel (if applicable), hotel accommodations, lunch during both days of the event, and dinner on the first day of the event.

How do I book travel?

After you confirm your attendance through the Intent to Participate form, you will receive instructions for booking travel through Google’s travel partner.

Can I book my own travel and submit receipts for reimbursement?

No. We are not able to process reimbursements. All travel must be booked through the channels provided in your travel booking instructions email which will be sent after completing the Ethics and Compliance process (see below).

Can my institution cover travel and lodging costs directly instead of accepting Google-funded support?

Yes. If your institution prefers to cover these costs directly, participants can book their own flights and hotel independently.

Can attendees from public institutions receive an invoice for food, beverage, or swag?

Yes. If you note in your self-certification or compliance form that an invoice is required for these items, Google will arrange to invoice you following the event.

Will my credit card be charged for the hotel room?

No. You will be asked to provide a credit card during the online reservation and during check-in for incidentals only. The room cost is fully covered by Google.

Is ground transportation covered?

Transportation from the airport or train station to the event venue or hotel is not covered. Participants are responsible for arranging their own transportation upon arrival.

Is there a remote or virtual option?

No. All academies are in-person only.

Can I change my event location after registering?

No. Participants are assigned to a specific event and should register only for that assigned location.

What is the difference between the Higher Ed, GEG Leader, and K-12 Leader academies?

Each academy is designed specifically for its intended audience. Your invitation will indicate which event you are invited to attend.

Can I see an agenda?

Draft agendas are available for each audience below:

Who should I contact if I have questions?

Please reach out to aiseries@iste.org for support.

Why is there an Ethics and Compliance form?

Because Google is covering travel and lodging costs, many schools, districts, and institutions require ethics or compliance approval before employees can accept these items. The form ensures your institution is aware of and has approved the items of value being provided.

Who needs to complete the Ethics and Compliance form?

If Google is paying for your flight or hotel, the ethics or compliance officer at your school, district, or institution must complete and submit the form. Participants cannot submit it on their own behalf.

My legal team says accepting airfare and lodging may violate state ethics laws. What are my options?

This is a common situation. If your institution cannot accept Google-funded travel and lodging, you may cover those costs yourself or have your institution pay directly. Please contact aiseries@iste.org and we can help you explore options.

What if my institution cannot approve the Ethics and Compliance form?

You are still welcome to attend. Participants whose institutions cannot approve the form may choose to cover their own travel and lodging costs. Please note that Google cannot provide travel support without a completed form.
